Founded in 1996, Appen has customers and offices globally.     Position Summary   Seeking a responsible, organised and results driven Office Administrator with a strong administrative background to join our Chatswood office. This position will foster collaborative relationships with employees and create a welcoming guest experience.   In this role, you will be responsible for facilities management, front desk duties, maintaining office supplies and services, shipping, mailings, deliveries, and screening guests. You will serve as the primary liaison with office supply vendors, building management and maintenance. You will supportthe Executive Assistant with various tasks such as company initiatives, event planning, and miscellaneous administrative duties. Providing general assistance and support to the project teams and operations team along with other ad hoc office projects will also be required.   This role is ideal for an individual who is highly organised, resourceful, self-motivated and a problem solver      This is a Fixed Term 6 months contract position and extend as required.       Job Responsibilities - •Screen, greet and direct visitors with a high level of customer service • Manage all front desk responsibilities, reception, conference rooms and communal areas • Coordinate office and equipment maintenance with building management and vendors • Organise security access in accordance with office requirements • Maintain kitchen and office supply inventory or catering services for team events • Assist HR as required with office orientation and onboarding of new hires • Arrange shipping of equipment and other collaborative work with IT • Work with IT to resolve technical issues including conference room technology • Reconcile invoices and receipts for expense report submissions • Travel management and assistance as required, build relationships with vendors • Support administrative team with special projects, events, and other administrative tasks including covid safety practice for office, staff and visitors • Support project and data collection teams as needed including procurement and purchasing • Assist with participant payments for data collection work • Duties, responsibilities, and activities may change as the role develops or office needs change     Required Knowledge, Skills and Abilities - High school diploma or equivalent, university degree an advantage - Minimum of 2 to 3+ years of office administration or coordination experience - Relevant experience working in a corporate office environment - Customer service oriented with excellent follow-up skills - Able to work independently or as part of a team - Proficiency in the use of Microsoft Office, including Outlook, Excel and PowerPoint - Strong multi-tasking, organizational skills and attention to detail - Strong interpersonal and communication skills (written and verbal) - Adaptable and quick to learn new processes and tools - ‘Self-starter’, resourceful and proactive when issues arise - Problem solver and can meet deadlines - A creative mind with an ability to suggest improvements - Physical demands may include lifting, carrying or rearranging of office furniture or delivery item       We are an equal opportunity employer and value diversity at our company. Position Summary Appen has an opportunity for a Vendor Management Specialist to join a dynamic, global team, supporting clients in North America, Europe, Asia and Australia.
